 Program Dates

During any Girl Scouts of Greater Atlanta fundraising season there are key dates to know and adhere to. Review the timeline below that lists dates/deadline with task explanations for you and your troops. Be sure to pay close attention to the items in blue as these are your unique tasks for managing a successful season.

SUC&MPM Training (Mableton Office)

August 1 - 31
Troop Chocolates & Magazine Program Manager Training (Conducted at the SU level)

September 1
Order taking begins for ALL items!
(Online Magazines AND Chocolate/Nut items)
No money should be collected at this time.

    October ______** Suggested, October 18 **Official date set by TC&MPM
    Girl orders due to Troop Chocolates & Magazines Program Manager (TC&MPM)
  • Each Troop should stress this deadline to their parents!
    Each girl should submit the following to the TC&MPM:
  • Order Card (or copy of)
    • If applicable, girls can also provide TC&MPM with recognition selections at levels that have an option by circling on order card.
  • Detailed Order Report for magazine sales and additional online chocolate/nut promises
    • This report MUST be submitted (in person or via email) to the TC&MPM to enter in all valid magazine orders and online promises for chocolate/nut items. Without this report troops cannot enter magazine sales or chocolate/nut promises to count towards girl rewards or troop proceeds.
  • Completed Address Booklet, I per girl. Enter the number “1” in the space provided in Nut-E for each girl with a completed book; 10 names & Addresses.

October 18
Last day for TC&MPMs to enter girl/troop orders and reward selections in Nut-E. System will be locked for adjusting orders at 11:59 p.m. Only deposits can be logged and updated by the TC&MPM after this time – all ordering capabilities for girls and troops will be disabled.

The QSP online magazine site will remain open to afford troops the opportunity to earn additional proceeds on subscriptions still being purchased. No girl rewards are earned on these sales.

October 20
Last day for SUC&MPMs to make adjustments to troops chocolate/nut and magazine orders. Only deposits can be logged and updated by the SUC&MPM after this time – ALL ordering capabilities for girls and troops will be disabled.

Service unit delivery site information HAS TO BE ENTERED into Nut-E by this date.

November 9, 10, 11 & 12
Service unit chocolate/nut deliveries. Refer to Delivery Day – What to Expect handout for more information and helpful tips to manage this process.

Items will be shipped to the address provided in Nut-E. Confirmation of shipping location and time will be managed by your specific delivery agent.

Upon receipt of the items, SUC&MPM should sort orders by troop and reconfirm you have received all that you need. For their records and accountability, they should print a T2- Nuts/Candy Form for each troop order at distribution. TC&MPMs should sign the T2- Nuts/Candy Form as a receipt.

November 11
Girl rewards shipped to each service unit during this week.
All deliveries will be mailed to the SU contact address entered in Nut-E. SUC&MPMs should count and recount all items upon receipt. Deadline to report any missing items to the product sales team is Monday, December 3.

SUC&MPMs SHOULD NOT DISTRIBUTE REWARDS UNTIL THEY HAVE RECEIVED VALIDATED DEPOSIT SLIPS CLEARING A TROOP’S BALANCE. Rewards should not be issued until all financial obligations have been satisfied.

November 15
Last day for SUC&MPMs to report ALL damages/shortages for CHOCOLATE/NUT items not resolved at the time of delivery. Damages/shortages should be reported to the product sales team by 5 p.m. via email: chocolates&magazines@gsgatl.org

December 3
Last day for SUC&MPMs to report any missing or damaged REWARD items not received in their original shipment.

** Last day troops can login/update deposits in Nut-E. ALL money due to GSGATL for chocolate/nut items sold by this date. ALL deposit tickets MUST have Troop number on them. ** System will be locked at 11:59 p.m. for any adjustments to the troop’s total amount due. Any remaining balances left unnoted after this time will be subject to collection efforts.

Troops with unpaid balances will not be allowed to participate in the 2014 Girl Scout Cookie Program until paid in full. Note: When making deposits into the GSGATL account (using the pre-printed deposit slips provided by the SUC&MPM), troops should withhold troop proceeds and only pay the amount due to GSGATL.

    December 6
    Girl rewards distributed to troops who have confirmed their balance paid to GSGATL with validated deposit slips:
  • DISTRIBUTE REWARDS ONLY TO THOSE TROOPS WHO HAVE PROVIDED DEPOSITS SLIPS TO SATISFY THEIR TROOP’S BALANCE DUE GSGATL. Rewards should not be issued until ALL financial obligations have been satisfied.
  • Enter any validated deposits in Nut-E that are not already represented in the system.
    Troops’ final paperwork due to SUC&MPM
    Each troop should submit the following to their SUC&MPM:
  • 2 copies of each validated deposit slip (having one remaining for the troop’s record)
  • Completed Address Booklets
  • If applicable, any Unpaid Product Account Forms for parents/girls with remaining balances. ONLY forms with requested documentation will be pursued!
  • If applicable, any Non-Reward Girl Agreement Forms for Girl Scout Cadette, Senior and Ambassador Troops who have chosen to receive additional proceeds in lieu of recognitions.

Note for troops: No girl/parent with an outstanding balance should be issued girl rewards until all financial obligations have been satisfied.

    December 9
    Last day for SUC&MPMs to update DEPOSITS in Nut-E.
    The site will lock at 11:59 p.m. for all edits
  • For every validated deposit slip received in-hand, verify that the dollar amount, date and transaction ID has been entered correctly in Nut-E.
  • If there is a deposit received in-hand that is not reflected in Nut-E, add it by entering the appropriate information.
  • In instances where there are deposits logged for which you have not received a physical copy of a validated deposit slip, please remove them from Nut-E.

December 12
GSGATL will issue UPS call tags to retrieve all final paperwork and girl reward items for Troops who did not satisfy their balance due. All packages should be postmarked by this date.

SUC&MPMs will also receive pre-paid mailing labels with instructions to package all collected Address Booklets for mailing to QSP.

December 15
QSP site for online magazine orders will close to customers. GSGATL will credit any additional sales to troops for which they will receive a check for any additional proceeds earned.

    December 16
    SU Final paperwork and/or girl rewards for Troops with an outstanding balance are due to GSGATL - ALL PACKAGES SHOULD BE POSTMARKED BY THIS DATE. Each SUC&MPM should submit the following to GSGATL:
  • 1 copy of each troops validated deposit slip(s) – keeping one remaining copy for the SU’s record
  • If applicable, ALL girl reward items for Troops who have not satisfied their balance due to GSGATL
  • If applicable, any Non-Reward Girl Agreement Forms for Girl Scout Cadette, Senior and Ambassador Troops who have chosen to receive additional proceeds in lieu of recognitions.
  • If applicable, any Unpaid Product Account Forms for parents/girls with remaining balances. ONLY forms with requested documentation will be pursued!

January 15
Product sales team completes reconciliation of Nut-E total actual deposits; makes list for collections. Notifies service units of troops not qualified to participate in cookie program
